Setting up an event to take payments

Modified on Thu, 10 Sep at 4:30 PM

With Stripe connected, each event decides what is sold and at what price.

1. Add priced products

Products (tickets, add-ons, sessions and goods) are managed under each registration type. For every product you want to charge for, set:

  • Price per unit, before tax.
  • Currency. All the priced items in one order must share a currency, so keep one currency across the products a buyer is likely to combine.
  • Tax rate and whether the price shown already includes tax or has tax added at checkout.
  • Optional dated prices for early-bird or late pricing. The lowest active price applies at the time of purchase.

A product with a price of 0, or marked Complimentary, is issued without payment. If an entire order comes to zero, the payment step is skipped.

2. Optionally hold tickets during checkout

In Event settings (Project > Edit), under registration options, turn on Hold tickets during checkout (countdown timer) and choose how many minutes to hold for. The buyer sees a countdown on the details and payment pages. When it runs out the order is released, the tickets go back on sale and the buyer is sent back to the start. If the timer is off, tickets are still reserved briefly behind the scenes while payment is taken.

3. Put the receipt link in your confirmation email

Stripe does not email receipts for these payments. Instead, Delekit's confirmation email can carry a link to the Stripe-hosted receipt. Add the {{registration.receiptUrl}} token to your confirmation email template in the Template library so buyers can download their receipt.

4. Tick off the checklist and test

The event overview's setup checklist includes a Connect payments step. Once Stripe is connected and your products are priced, run a test registration through to confirmation before you go live, and check the payment appears in your Stripe dashboard.

What the buyer sees

  1. Choose tickets on the registration site. Prices, tax and availability are shown live.
  2. Enter their details (and, if the hold timer is on, see the countdown).
  3. Pay on a secure payment page. The payment form is provided by Stripe and offers the payment methods you have enabled in your Stripe account, such as cards and wallets. Card details never touch Delekit.
  4. Add guest details for any tickets that need them, then reach the confirmation page.

While Stripe is still confirming the payment the confirmation page shows a short "confirming" state and refreshes itself. The confirmation email is sent as soon as the payment is confirmed.

On the buyer's card statement the charge appears as your Stripe statement descriptor followed by the first part of your event name (up to ten characters), so they recognise the payment.

If a payment fails, the buyer is shown Stripe's reason and can try again with another card. The order stays open for retry until they succeed or the hold expires.

What you see in Stripe

Each Delekit order appears as one payment in your Stripe dashboard with:

  • a description of Order ref: followed by the order reference the buyer was given, so you can match it to Delekit;
  • metadata recording the event, the purchaser, the items bought and the Delekit order id, for reconciliation and exports;
  • the Delekit platform fee shown as an application fee on the payment.

Payouts to your bank follow your Stripe account's payout schedule. Delekit does not change or delay them.

Refunds

Refunds are issued per product line from the purchaser's attendee record in Delekit:

  1. Open the event's attendee list and open the purchaser (the person who paid).
  2. Go to the Payments tab. Each order is listed with its lines, amount paid and amount already refunded.
  3. Click Refund on the line you want to refund. Choose whether to also cancel the tickets on that line.

Refunds go back to the buyer's original payment method through Stripe. The Delekit platform fee on the refunded amount is reversed at the same time, so you are not charged the fee on money you have returned. The order's status changes to Partially refunded or Refunded.

You can also refund a payment directly in the Stripe dashboard. Delekit picks up the refund from Stripe and updates the order's refunded total and status, but it will not cancel tickets for you, so cancel them in Delekit if needed.

Refunds are only available from the purchaser's record, not from a guest's, and only for orders that were paid through Stripe.

Pausing, resuming and disconnecting

All three options are on the Stripe page in client settings.

  • Pause payments stops any new payments for every event under the client while keeping the Stripe connection. Buyers see that payments are not available for the event. Use this for a temporary stop. Resume payments turns them back on and refreshes the status from Stripe.
  • Disconnect stops new payments and removes the Stripe connection, and Delekit revokes its access to the account on Stripe's side. You can reconnect the same Stripe account later. Disconnect is refused while any payment is still in progress; wait a few minutes and try again.
  • If you remove Delekit from your Stripe account's Authorized applications instead, Delekit detects this and shows the account as Not connected.

Pausing or disconnecting never refunds or changes completed payments. Existing paid orders, receipts and refunds from the Stripe dashboard are unaffected.

Troubleshooting

Buyers see "Payments are not available for this event". The client has no connected Stripe account, payments are paused, or the Stripe account is not yet enabled for charges. Open the Stripe page in client settings, check the status and use Re-check status after fixing anything on Stripe's side.

The status says Incomplete or Action required. Stripe still needs something from you. Use the button on the status card to go to Stripe, complete the requirements, then click Re-check status in Delekit.

A buyer paid but their registration still shows as pending. Delekit confirms the order when Stripe reports the payment succeeded, which is normally within seconds. If it stays pending, open the order from the purchaser's attendee record; Delekit checks with Stripe again when the page is loaded. Check the payment in your Stripe dashboard to confirm it succeeded.

Checkout refuses a mix of products. All priced products in one order must use the same currency. Give the products that can be bought together the same currency.

I connected the wrong Stripe account. Click Disconnect, then Connect with Stripe again and sign in to the correct account.

Where are my Stripe fees? Stripe's processing fees are shown in your Stripe dashboard against each payment, as for any Stripe payment. The Delekit platform fee appears as the application fee on the same payment.
