Attendee statuses explained

Audience: event organisers and client administrators. Applies to: all plans.

Every attendee has a registration status that says where they are: added but not yet invited, invited, registered, on the waitlist, or no longer coming. This article explains what each status means, how people move between them, and which changes send an email.

What each status means

Status What it means How someone gets it
No status On your list, but not invited or registered yet. Their page shows Not set. You added them by hand or imported them.
Registered interest They asked to hear about the event, and haven't registered in full. They filled in the event's register interest form.
Invited They've been invited and haven't registered yet. On their page, Started next to it means they've begun. An invite list's send, or you changed their status to Invited.
Draft They've started registering on the public pages but haven't finished, for example while paying. They began registering without an invitation. (Invited people stay Invited while they register.)
Confirmed They're registered. They finished registering (and paid, if their tickets have a price), or you confirmed them.
Waitlisted They're on the waitlist. They joined it when their registration type was full, or you moved them there.
Declined They've said they can't come. They declined, or you changed their status to Declined.
Cancelled Their registration is cancelled. They or you cancelled it, or the attendee was deleted.

The status tiles on the Attendees list count each status, except Draft, which is included in All attendees. See Find attendees: search, filter and columns.

How people move between statuses

Most changes happen by themselves as people register, pay, join a waitlist or decline. You can also change a status yourself with Change status, on the attendee's page or for many people at once in the Attendees list. These are the changes you can make:

From To
No status Invited, Confirmed
Registered interest Invited, Confirmed, Cancelled
Invited Confirmed
Draft Confirmed
Confirmed Cancelled, Declined, Invited
Waitlisted Invited, Cancelled, Confirmed
Declined Invited, Confirmed, Waitlisted
Cancelled Confirmed, Invited, Waitlisted

Some rules apply to these changes:

  • Inviting needs a registration type, because an invite link opens that type's registration form.
  • Cancelling a confirmed or waitlisted registration is a full cancellation: their tickets are released and anything paid is refunded, minus the cancellation fee unless you tick Waive the cancellation fee (refund in full). It can't be undone.
  • Bringing back a cancelled or declined registration gives them their places again. If those places have gone since, Delekit says which capacity it goes over and asks before it goes ahead.
  • A reason is optional, and every change is recorded in the attendee's status history.
  • A registration type can only be changed for people with no status, or who are Invited, Declined or Registered interest. Anyone who has started or completed a registration keeps theirs.

Which changes send an email

What you do Email
Add an attendee, or import a file None
Change registration type None
Delete an attendee None. Their status becomes Cancelled, and restoring them brings back the status they had.
Change status Only if you leave the email ticked (it starts ticked)

When you change a status with the email ticked, Delekit sends the matching email from the attendee's own invite list: the invitation for Invited, the confirmation for Confirmed, and the waitlist, decline or cancellation email for the others. If their invite list has no email of that kind chosen, nothing is sent and Delekit tells you why. On the attendee's page, the Change status pop-up shows which email will go, and Show email shows it before you change anything.

To change a status without emailing anyone, untick Email them about the change (on the attendee's page) or Email them about the change (in the Attendees list).
