Audience: event organisers and on-site check-in staff. Applies to: events that check people in with the Delekit Check-in Desk kiosk app.
Start each kiosk, hand it to attendees for self check-in, and step in from the organiser screen when someone needs help. Attendees scan their QR code, and their badge prints.
Before you start
- Each kiosk is paired and set up, with its scanner and printer. See Pair a kiosk with your event and Set up badge printers.
- Ask Delekit for your check-in profile's staff PIN or unlock code. Staff use it to get from the attendee screens back to the organiser screen.
- Attendees need their QR code, from their e-ticket or confirmation email. If your profile
uses pickup codes, add
{{attendee.pickupCode}}to that email so they have one. See Change the wording of an email.
Start the kiosk
- Open Delekit Check-in Desk. On Resume check-in?, select Resume. (Just set it up? You're already on Ready to go?.)
- On Ready to go?, wait while the kiosk downloads the latest attendees, then check each row.
- Select Fix on any row that needs it, or Try again on a row that offers it.
- Select Start check-in. The organiser screen opens, showing how many are checked in.
- Select Switch to self check-in. The kiosk shows Scan your QR code to check in.
What attendees do
- They hold their QR code under the scanner, or inside the square on screen if the kiosk uses its camera.
- Without a code, they select No QR code? and find their booking by the details your profile asks for, then select Yes, check me in on Is this you?.
- Welcome and their name means they're checked in. If their badge prints, it says to collect it from the printer.
- If their badge needs details their record lacks, Almost there asks for them before it prints (Print my badge), or they select Print without.
Help someone at the desk
- On the attendee screens, select the event banner and enter the staff PIN. Or scan the staff unlock code. Without a PIN, select the banner four times quickly.
- Search by Name, email or company, or scan the person's QR code.
- Select the person, then Check in and print or Check in only. For a new badge, select Reprint badge and choose why: Lost, Damaged, Misprint or Other.
- For someone who isn't registered, select Add attendee. Enter their details, then select Add, check in and print.
- Select Switch to self check-in when you're done.
What happens next
- Check-ins are saved against the profile's session and sent to Delekit straight away. Edits and walk-ins made on the kiosk are saved to the attendee's record.
- If the connection drops, the kiosk keeps checking people in from its saved attendee list and sends everything when it's back. The organiser screen shows how many are unsynced.
- Every 30 seconds the kiosk picks up changes made in Delekit and check-ins from other kiosks.
- With a self-service profile, an organiser screen left alone for 5 minutes asks Return to self check-in?. Select Stay here to keep it.
- At the end of the day, open the organiser screen and select Exit kiosk. Anything not yet sent stays on the kiosk and is sent the next time it opens and is signed in.
Check it works
Before doors open, check in a test attendee at each kiosk. The organiser screen's count goes up, and their badge prints.
If something isn't right
- We can't check you in here: the person isn't eligible for this session, for example not booked on it, or their registration is cancelled. Search for them on the organiser screen to see why, and update their booking in Delekit.
- You're checked in, but the badge didn't print: the organiser screen names the printer problem, such as Media out or Head open. Fix it, then search for the person and select Reprint badge. If your profile doesn't allow reprints, Delekit can change that.
- We couldn't find your booking: the details must match their registration in full: part of a name, or a typo, finds nobody. Search for them on the organiser screen instead.
- The PIN pad says Try again in a few seconds: five wrong PINs lock it for 60 seconds.
- This profile was changed in the web app: select the status strip on the organiser screen to open Kiosk settings, then select Refresh roster.
