Audience: client administrators and event administrators. Applies to: events using the Delekit check-in app.
Show your event in the Delekit check-in app, choose what your check-in staff see about each attendee, and set up the sessions they'll scan. When you've finished, the event, its sessions and its attendees download to every device signed in by someone with access to the event.
Before you start
- You need to be a client administrator, or an event administrator on the event.
- Add the custom fields you want staff to see, such as Company or Job title, first. See Add custom fields to your event.
- The app checks who someone is, not their registration status. Everyone in the event's attendee list can be scanned in, so delete test and duplicate records before the event.
Show the event in the app
- In the menu, select Event, then Edit event.
- Go to the Check-in app section and turn on Visible in check-in app.
- Turn on Show email in app if your staff need to see attendees' email addresses.
- In Additional column 1, choose a custom field to show with each name, such as Company. These lists appear only when the event has custom fields.
- In Additional column 2, choose a second field, such as Job title.
- Select Save changes.
The two additional columns show with each name in the app's attendee lists and on every scan result.
Choose the fields shown on attendee profiles
When staff open an attendee in the app, their profile shows the custom fields marked Visible on app.
- In Edit event, go to Custom fields and select Edit on the field.
- Turn on Visible on app.
- To show the field only in one session, choose it in Session. Leave No session to show it everywhere.
- Select Save changes.
Only Text (single line) and Dropdown (list) fields show on profiles in the app.
Set up the sessions to scan
Every scan is made in a session, so the event needs at least one, even if you only check people in at the door.
- In the menu, select Sessions, then Add session.
- Enter a Name and the times in When and where.
- In Type, select Bookable to check people against the session's booking list, or Open to all to accept anyone in the event. An Agenda item shows in the app but isn't scanned.
- For your registration desk, turn on Mark attendee as arrived at the event in Check-in. See Check attendees in at registration.
- Leave Hidden from the agenda off. Hidden sessions don't download to the app.
- Select Add session.
What happens next
- The event shows in My Events in the app for everyone with access to it. Staff who are already signed in select the refresh icon in My Events to fetch it.
- Saving Edit event also adds the event to your own My Events.
- The app downloads every session that isn't hidden, every attendee in the event and their session bookings. Changes you make on the web reach the devices at their next sync.
- Nothing is emailed to attendees.
Check it works
Sign in to the app with your own account, open the event, and check its sessions are listed. Then, in the sessions list menu, select Attendees and enter the name of a test attendee in Search Attendee. Their additional columns should show with their name.
If something isn't right
- The event or a session is missing: see An event or session is missing from the app.
- Your staff can't see the event: they need access to it. See Give staff access to the check-in app.
