Audience: client administrators. Applies to: events using the Delekit check-in app.
Everyone who scans with the Delekit check-in app signs in with their own Delekit account, and the app shows them the events they have access to. Add each member of your check-in team as a user and give them the event, and it appears in My Events when they sign in.
Before you start
- Only client administrators can add users and change their access.
- There's no check-in-only role. An Event admin for the event can also manage the event on the web, so give access only to people you trust with it.
- The event needs Visible in check-in app turned on. See Set up an event for the check-in app.
Add someone to your check-in team
- In the menu, select Event, then Edit event.
- Go to the Users section and select Manage users. The Users page opens in a new tab.
- Select Add user.
- Enter their Email, First name and Last name.
- In Role, select Event admin.
- In Events, turn on Can manage for the event.
- Select Send invite.
User invited and roles assigned. appears. They're emailed You've been invited to Delekit, with a link to confirm their email and set a password.
Give an existing user the event
- On the Users page, select Edit next to their name.
- In Events, turn on Can manage for the event.
- Select Save user.
User access updated and notification sent. appears, and they're emailed Your Delekit access has been updated, listing the events they've been given.
What happens next
- They download the check-in app and sign in with the email address you entered. The event shows in My Events.
- If they're already signed in, they select the refresh icon in My Events to fetch the event.
- To take the event away, turn off Can manage and select Save user. The event leaves their My Events at their next sync, and from then on the app can't check anyone in to it with their account.
Client administrators in the app
A client administrator sees every event of your client in the app that has Visible in check-in app turned on and isn't archived. They don't need Can manage on each one. A new event shows once they select the refresh icon in My Events.
Check it works
Ask the new user to sign in to the app and open the event. They should see its sessions. Ask them to scan a test attendee into a session. Then, on the web, select Sessions, then View all, and select View on that session: the test attendee is in the list as In session.
If something isn't right
- The invitation hasn't arrived: check their spam folder, and that the email address on the Users page is right.
- The event isn't in their My Events: see An event or session is missing from the app.
- Someone's left your team: on their Users page, turn off Can manage for the event, or select Remove user to take away their access to every event.
