Scan people out of a session

Audience: on-site check-in staff. Applies to: events that give attendees NFC wristbands, badges or cards.

Scan attendees' wristbands as they leave a session to record who left and when. Exit scans move people from In-Session to Exited, so the counts show how many are in the room now. When someone comes back, scan them in as usual.

Before you start

• Exit scanning works with wristbands, badges and cards. There's no exit scan for QR code tickets: mark those people as left by hand (see If something isn't right).
• If you scan entries and exits at the same time, use one device for each. See Use several devices at one session.

Scan people out

1. In the sessions list, select the session.
2. Open the menu and select Exit Scan NFC.
3. Check the screen shows Exit Scanning.
4. Hold the attendee's wristband flat against the back of the device.
5. Check the result. Valid Scan means their exit is recorded.
6. Hold the next wristband against the device.

What happens next

• In the session's attendee list, the person moves from In-Session to Exited. Arrived doesn't change: they still came. See Session counts in the check-in app.
• Already Scanned on an exit scan means the person already has an exit in this session. The new exit is still recorded, so leave them to go.
• In a Bookable session, someone who isn't booked shows Not In Session, as on entry. See Let in someone who isn't booked on a session.
• On the web, the session's overview counts them as Exited.

When someone comes back

Go back to the attendee list, select Scan Tag or QR Scan, and scan them in. The result is Valid Scan, with Previously exited at and the time they left, and they move back to In-Session.

The note shows when this device has their exit scan: either it made it, or it has synced since. Otherwise a returning attendee shows Already Scanned, which is still a valid entry.

If something isn't right

• Someone with a QR ticket leaves: in the session's attendee list, select the tick next to their name, then select Exited.
• You scanned an exit by mistake: scan them in again with Scan Tag.
• The screen says Entry Scanning: you opened Scan Tag. Go back and select Exit Scan NFC in the menu.
• Offline, an exit shows Already Scanned: without a connection the app can only check this device's scans, so anyone already scanned in shows Already Scanned. The exit is still recorded and sent when the device reconnects.
