Make registration invite-only

Modified on Mon, 2 Nov at 2:00 PM

Audience: event administrators and client administrators. Applies to: plans that include the registration form builder. If Invite lists or the Website items show a padlock in the menu, they aren't in your plan.

Invite-only registration means only the people you invite can register, each with the personal link in their invitation. It takes three things: an invite list for the people you invite, the Register page set to Invite only, and the invitations sent. You can also keep some registration types invite-only while others stay open to everyone.

Before you start

  • The people must be in the event with a registration type and an email address. Add them by hand or import them: see Import attendees from a spreadsheet.
  • Invite links and signed-in team members always get in, whatever the Register page's access.
  • Invite links still respect capacity. To let one person book when their type is full, turn on Book even when sold out on their attendee page.

Make the whole event invite-only

  1. Create an invite list with the registration types you invite, and choose its emails. See Create an invite list.

  2. In the menu, select Website, then Pages, and select Build on the Register page.

  3. Select More actions (⋯), then Page settings.

  4. Under Access, choose Invite only, then select Save changes. See Make registration public, invite-only or password-protected.

  5. Send the invitations from the invite list's Send invites page. See Send or schedule invitations.

The access change applies straight away, even on a published site.

Keep only some types invite-only

Leave the Register page Public, and take the invite-only types off the registration form.

  1. In the menu, select Registration, then Registration form. Tick the form and select Actions, then Edit settings.

  2. In Registration types, remove the types that are invite-only, such as VIP. The types left are the ones people can choose, each with its own link.

  3. Select Save settings.

  4. Put the invite-only types on an invite list and send its invitations: see Create an invite list and Send or schedule invitations.

Don't close a type with its Registration to date: that stops the people you invited too.

What happens next

  • With Invite only, visitors without an invite link see Registration is by invitation, with a link to manage an existing registration. If your event takes interest, they also see Register your interest: see Collect interest before registration opens.
  • Invitees register with the link in their invitation, which opens registration on their own record and registration type.
  • Sending moves each person to Invited. See Attendee statuses explained.

Check it works

Open the Register page's web address in a private browser window, where you aren't signed in. With Invite only you see that registration is by invitation. With only some types invite-only, those types aren't offered. Then open a test invitee's invite link: it opens registration. See Test a registration before you go live.

If something isn't right

  • An invitee can't get in: they need the link from their invitation email, not the site's address.
  • You don't see Invite only: it's only offered on the Register page.
  • An invite-only type's link still works: check the type isn't on the registration form's Registration types any more, and that you selected Save settings.
